Part-time Office Administrator

JOB DESCRIPTION

Page One Web Solutions is a dynamic and fun web design, development and Internet marketing firm located in Portland’s Old Port. We are looking for a part-time office administrator to help with our growing client base.

We have a very collaborative company culture here at P1WS, so you should be comfortable working on a team as well as autonomously. We enjoy a laid-back company culture here, but that should not be mistaken for “not working hard”. We all love what we do and work very hard at it every day for our clients as well as our own professional growth. We don’t take ourselves too seriously, so it would be good for you to not take yourself too seriously either. We like to enjoy the time we spend here while we do great work for our client partners. P1WS is a dog-friendly office so the ideal applicant will also be a dog-lover.

General qualifications and experience

  • QuickBooks experience is required
  • Candidate needs to have a great attention to detail
  • Outstanding time management skills
  • Strong Microsoft Office skills
  • Accounting background is preferred
  • Previous office management experience is a plus
  • Demonstrate discretion in regard to sensitive confidential matters

List of Job Responsibilities

  • Handle day-to-day administration of AP & AR (invoicing, collections, bank deposits, etc.)
  • Manage payroll
  • Work with the team to support new client onboarding
  • Field inbound phone calls and route them as needed to staff
  • Coordinate job postings, collect resumes and schedule interviews
  • Prepare paperwork as needed for employees (new hires, etc.)
  • Work with vendors as needed (accounting, legal, insurance, etc.)
  • Complete monthly reconciliations in QuickBooks
  • Create financial reports from QuickBooks when requested
  • Administer SIMPLE IRA plan
  • Calendar management
  • Coordinate travel plans for staff as needed
  • Greet and direct visitors
  • Filing of company documents
  • Vendor research
  • Ensures conference room and common areas are tidy prior to and after client meetings
  • Keep office supplies in stock as needed
